Maintain Supplier
Maintain supplier profile data such as addresses, phone numbers, fax, email, contact persons, credit limits, credit terms, etc. In other words, this is your supplier contact list.

New Supplier
To create a new supplier, click the New button. See the screenshot below.

You will get a blank form to be filled in with the supplier data.

You can start entering data into the following fields:

| Control A/c | Lookup from Maintain Accounts (Special Type: Supplier Control Account) | 10 | Select an appropriate Supplier Control Account to be posted to GL when supplier documents are created. |
| Description 2 (under Company) | Alphanumerical | 100 | An optional field where you can enter Chinese translated name, former company name, company register no, etc. |
| Code | Alphanumerical | 10 | Automatically or manually generate the Supplier Code. |
| Cust Category | Lookup from Maintain Company Category | 15 | Categorize your supplier for reporting purposes. |
General

| Active | Allows the creation of official documents and selection to print Supplier Statement. |
| Inactive | Does not allow the creation of official documents, and cannot select to print Supplier Statement. |
| Suspend | Does not allow the creation of official documents, but can select to print Supplier Statement. |
| Prospect | Allows the creation of official documents and selection to print Supplier Statement. |
| Pending | Allows the creation of official documents and selection to print Supplier Statement. |
Tax

| Default Tax | Select a default tax code based on supplier. |
| Tax Area | Not applicable to Malaysia/Singapore. |
| Exemption No | • Input the Tax Exemption number applicable to your supplier. |
| • Field type: Alphanumerical. | |
| • Length: 50 | |
| Expiry Date | Set an expiry date. |
| • This will be tax exempted before the expiry date. | |
| • Field type: Date. |
Tariff Code Setting This setting set the supplier who has supply the taxable goods under the Sales Tax (Person Exempted from Payment of Tax) Order 2018.

Bank Account

| Field Name | Explanation & Properties |

| Bank | Select the correct bank. |
| Account No | Enter the supplier's account number. |
| Account Name | Enter the name. |
| ID Type | Select the desired ID type. |
| ID | Enter the ID. |
| Active | • Check this box if active. |
| • Uncheck this box if inactive. |
Edit Supplier
To edit a supplier, click the EDIT button. See the screenshot below.

- Users can edit supplier data depending on the access rights granted.
- All edits are audited and logged by the system.
Save Supplier
You must save the supplier data before it can be used. See the screenshot below.

Delete Supplier
You can delete unwanted supplier data. See the screenshot below.

- Users can delete supplier data depending on the access rights granted.
Supplier Code Format
The supplier code can be automatically generated or manually overwritten. See the screenshot below.

- Every supplier code is unique.
- If a duplicate code is detected during saving, a warning message will be displayed.
You can set the supplier code format via Tools | Options...(Supplier). See the screenshot below.

Explanation of the Supplier Code Format:

Supplier Invoice (SI)
- General invoices received from suppliers, such as for services, insurance, stationery, or any non-stock control billing.
- Additionally, you can check invoice statuses, including outstanding balances and payment history.

Basic Entry (SI)

Click the New button.

Select the Supplier Code. You can directly enter and search by either the supplier code or name.

Enter the Purchase Account and the amount to be debited.

Below is an example of the entry created:

Project (SI)
- There are two types of projects to note:
- Document Project
- Detail Project
- For document projects, go to the More section on the left sidebar.
- For detail projects, add the project column using the Field Chooser.

| A | Document Project | It represents the project for a document to be credited. |
| B | Detail Project | It represents the project for individual GL Account to be debited. |
Attachment (SI)
- Attaching supporting documents to an invoice is very useful.
- This allows you to easily retrieve and refer to the attached files in the future.

- Go to the attachment section.
- Click the (+) button to insert the file path.
- See the sample screenshot below.

Note (SI)

Click the Note section on the left sidebar.

Right-click to open the Rich Text Editor.

You can start entering the note. See the example screenshot below.

Click the X button to save and exit the Rich Text Editor.

A "Save changes?" prompt will appear. Click Yes to save it.

Invoice description (SI)

This shows the document description in the Supplier Statement, e.g., Purchase-Stationery April 2015.

Supplier Payment (SP)
- Record payment amounts to suppliers.
- Offset payments against outstanding supplier invoices.

Basic Entry (SP)

Select the Supplier Code. Directly enter and search by either the supplier code or name.

Select the Payment Method (bank or cash account) in Payment By.

Enter the Paid Amount (following the bank account currency).

Double Entry will be:-
Account DR (RM) CR (RM) Supplier Control Acc 2,500.00 Bank Account 2,500.00 -
Enter bank charges if applicable.

The following double entry will be automatically posted:

Enter the cheque number, cash, or TT into the Cheque No. field.
